          EVV State Requirements

          Each of the 50 states has their own rules regarding how EVV is managed. For that reason, it's important to have EVV Software that understands and complies with the rules and best practices from your state. Here is what to look for:

          • EVV Aggregators: Make sure that your software integrates with your aggregator (such as Sandata, HHAX, Therap, Tellus/Netsmart, and Authenticare)?
          • MCOs: Has your state outsourced EVV management to Managed Care Organizations (like Aetna, Anthem, Blue Cross and others) and does it support the clearing houses required by your MCOs?
          • Rounding Rules: Make sure that your software matches how your state requires rounding and splitting visits at midnight?
          • Special Rules: If you perform multiple services in a single visit, make sure that your software only requires a single clock-in and clock-out.
          • Partnership: Is your software vendor available to work with you when your state changes the rules?

          • What is Electronic Visit Verification (EVV) and why is it required?

             EVV electronically captures the six data elements the 21st Century Cures Act requires for Medicaid-funded personal care and home health visits: the type of service, the individual receiving it, the caregiver providing it, the date, the location, and the start and end times. States and their Managed Care Organizations use this data to verify that billed visits actually occurred. Agencies that bill Medicaid without compliant EVV risk denied claims and lost reimbursement. 

          • How do caregivers clock in and out with Ankota EVV?

             Ankota supports three verification methods so every caregiver has an option that works for them: a GPS mobile app that functions online or offline, voice telephony (IVR) for caregivers without a smartphone, and Fixed Object Beacons (FOBs) placed in the client's home for automatic, location-confirmed check-ins. Agencies can use any combination across their workforce. 

          • What happens if a caregiver loses cell service during a visit?

             The Ankota mobile app works offline. Clock-ins, clock-outs, and visit details are captured on the device and sync automatically once connectivity is restored, so visits in rural areas, basements, or dead zones are never lost. 

          • Does Ankota integrate with my state's EVV aggregator?

             Yes. Ankota transmits visit data to state aggregators including Sandata, HHAeXchange, Therap, Tellus/Netsmart, and Authenticare, as well as the clearinghouses required by MCOs such as Aetna, Anthem, and Blue Cross. If your state uses an aggregator that isn't listed, contact us - our team works directly with agencies to confirm coverage. 

          • Can I use Ankota EVV with my existing scheduling or billing software?

             Yes. Ankota EVV is available as a standalone module that integrates with the systems you already use, or as part of Ankota's complete home care agency management platform covering intake, HR, scheduling, billing, and payroll. Many agencies start with EVV and expand later. 

          • How much training do caregivers and office staff need?

             Minimal. The mobile app and IVR were designed for caregivers of every technical comfort level, and most are clocking in confidently on day one. Office staff receive hands-on training and ongoing support from Ankota's team throughout onboarding and beyond.
